Order administration: reception, label printing, pricing, deviations, and documentation
TransFleet TMS usually receives orders from one or more existing systems. These orders are usually bookings in other systems that TransFleet TMS converts into transport orders with associated calculations.
Once the orders have been received in TransFleet TMS, you can send feedback to the customers on the status of their orders: registered, at the terminal, picked up, on the way, delivered, or complete. This feedback is set up for the customers who you want to give such feedback to and is automatically sent by e-mail/SMS.
TransFleet can print consignment notes, shipment labels, driving lists, and order slips. These printouts can be directed to several different locations, including other offices and terminals.
Route planning: accounting, route accounts, and maps
A complete overview of all the orders establishes the basis for effective route planning if desired. TransFleet TMS has a powerful tool for selecting orders based on things such as time factors, geography, directional balance, and categories of goods. If you have many orders per day, TransFleet TMS will distribute these on the basis of the criteria you select.
All orders, routes, and vehicles can be displayed by way of digital mapping in TransFleet TMS. This provides useful feedback on how routes are planned and how the execution of the shipment is going.
Managing your transport subcontractors
TransFleet TMS offers a powerful module for driver/carrier accounting. All of the most common accounting principles are supported (weight, pallet, distance, zones, hours, daily rate, etc.). This is done by choosing the form of settlement and type of goods you are transporting. In cases where settlement is based on distance, TransFleet TMS has a separate module to automatically calculate driving distance based on geographical points or postcodes.
Interaction with carriers via EDI
TransFleet TMS has a separate EDI solution called Log:Nett. This solution makes it possible to communicate with carriers directly from TransFleet.
Optimisation: efficient route planning
TransFleet is integrated with WorkWave Fleet optimisation. This means that orders in TransFleet can be optimised so that the best routes are set up in the system.
The orders are grouped in different ways for optimisation purposes. TransFleet will send over the data for how the routes are to be optimised, such as the time to be spent with each customer depending on what is to be picked up or delivered. Normal optimisation solutions do not give this factor sufficient attention. In this respect, TransFleet TMS has several advantages.
This solution calculates how much time will be spent with the customer depending on what is to be delivered, whether a crane or other equipment is to be used, how many lifts are to be performed, the type of refrigerator that is to be delivered, whether anything is to be installed, etc. The time spent with each customer has a huge impact on route planning.
Shipment monitoring: order out, status, deviation, invoice control
Once all the orders have been assigned to carriers or vehicles, they are simply sent over to them. For carriers you can use EDI or e-mail (e.g. by PDF). If the vehicles have apps, the driving lists and orders will be displayed in the selected order on the screen. Alternatively, the driving lists can be printed out..
When deviation occur, customers or others can be notified and the transport office can redirect its resources if necessary. The earlier in the process these discrepancies are discovered, the lower the cost of a change of plan.
Track & Trace, status and deviations
As a driver carries out their driving tasks, they report back on what they’re doing. Each order has several possible status reports that can be easily submitted to the driver office.
All statuses reported back to the driver office are recorded in the log, systematised, and displayed for each individual order. This information is shown in various reports and online (Track & Trace).
Each vehicle can be fitted with a GPS receiver that can determine its position. This position is sent to the driver office at regular intervals so that the office has a complete overview of its resources at all times.
Managing customers, reporting, and monitoring
All statuses and deviations handled by TransFleet TMS can be reported to customers. This can be done in a variety of ways, including SMS, online, and e-mail, or by way of regular reports.
Some reports can be made automatically by SMS, e-mail, or online. These are set up according to your wishes in relation to good customer care and can also serve as selling points when negotiating with new customers.It’s always desirable to present good figures to customers, as this can help to ensure confidence with regard to deliveries.
Integration with other systems: ERP, finance, TransportXML
TransFleet TMS can retrieve assignment data for ERP systems such as SAP, NAV, Axapta, Aspect4, ASW, Movex, Visma, and TakeCargo. In addition, several integrations have been developed with specialist systems and internal customer systems. This means that TransFleet TMS can form part of a company’s supply chain management and provide a better overview of logistics right through to the end client.
